How to check a fitness equipment supplier before you order

A CrossFit cage advertised at 70 per cent off on social media is not a bargain, it is a warning, and the checks that separate a real supplier from a fake one take about two minutes. France’s consumer protection authority recorded more than 8,000 reports in 2025 relating to online sports equipment purchases: short lived websites, dangerous counterfeits, payments with no delivery. For a professional buyer the exposure is larger than a lost deposit, because equipment that arrives without conformity documentation cannot lawfully be put into service in a facility open to the public. This guide sets out the seven trust criteria, the free verification tools, the documents a professional supplier must be able to produce, and the three scams that recur in this sector.

Seven checks before you order

Run any supplier through these seven points. A single one missing should stop the order.

First, complete and verifiable legal identity. Any e-commerce trader in Europe must publish the company name, not just a trading brand, a company registration number, the registered postal address rather than a post box, a telephone number and email address, and an intra community VAT number. All of that should be reachable from the footer, and it should take under a minute to confirm the company exists.

Second, the domain name. Fraudsters imitate known brands with subtle variants.

Third, trading history. A site created three weeks ago offering unbeatable prices is not a supplier. Look for several verifiable years of trading, a coherent social media history and mentions on third party sites. Fourth, authentic reviews, checked on independent platforms rather than on the seller’s own page. Warning signs are a perfect five star record, which is statistically implausible, reviews all posted in a short window, generic text with no specific detail, and no supplier reply to negative reviews. Fifth, prices consistent with the market.

Prices 50 to 70 per cent below the market signal counterfeits or outright fraud. Sixth, reachable customer service, tested before you buy: call the published number and see whether anyone answers, send a technical question and see whether you get a specific reply within 24 to 48 hours, and check whether the chat is staffed by people. Seventh, clearly defined warranties and after sales: delivery times and costs stated upfront, return conditions, product warranty duration and procedure, and a stated position on spare parts and repair.

The documents a professional supplier must produce

Consumer checks are the floor. A professional buyer equipping a facility open to the public needs evidence, and this is where most opportunistic sellers fail.

Free tools that settle it in two minutes

Company registers let you confirm legal existence, incorporation date, declared activity and any insolvency proceedings from the registration number alone; every European country publishes one. The EU VIES service validates an intra community VAT number in seconds, which is also what you need for cross border invoicing. Domain trust scanners analyse domain age, registration data and blacklist presence, and a low confidence score is reason enough to stop. National consumer protection portals let you check whether a trader has already been reported and to report one yourself.

Payment: keep the leverage

Even with a trusted supplier, protect the transaction. Strong customer authentication on card payments blocks fraudulent use. Payment platforms with a dispute process give you a free insurance layer against non delivery or non conforming goods. Single use virtual cards, offered by most online banks, keep your real card details out of a site that may later be compromised. For larger professional orders, bank transfer against a proper pro forma invoice with the supplier’s full legal identity is normal practice, and a supplier who asks for transfer to a personal account or to an account in a different name from the company is not a supplier.

Three scams that recur in this sector

The fake gym liquidation. Advertisements announcing a permanent closure with all professional equipment at 80 per cent off, usually naming premium brands. Either nothing arrives or what arrives is far below the described quality. The disguised drop shipping site, reselling low end imported products at a five times markup with no stock and no after sales, delivering in two to three months with no recourse. And the cloned storefront, copying a real distributor’s catalogue, product photographs and text under a near identical domain, which is why the domain check matters more than the look of the site.

Frequently asked questions

Is a low price always a warning sign?

No, but a price 50 to 70 per cent below the market for equipment with real steel and real electronics in it has to be explained. Ask what the ISO 20957 class is, what the warranty covers and where the parts are stocked. Genuine promotions survive those three questions.

What if the supplier is outside the EU?

Then you become the importer, with the compliance and documentation duties that go with it, and any warranty claim runs through a jurisdiction you cannot easily enforce in. That is a commercial decision, but it should be a deliberate one.

How do we check a supplier for a public tender?

Ask for the standard qualification pack: registration certificate, tax and social security compliance certificates, insurance, references for comparable contracts and technical datasheets with the applicable standards. A supplier who cannot assemble that quickly will not survive the procedure.

Are marketplace listings safer?

Marketplaces give a dispute process but do not verify technical conformity. For professional equipment going into a public access facility, the conformity file matters more than the payment guarantee.

What does a serious supplier do that a fake one cannot?

Answer a technical question specifically, name comparable client references, produce the conformity file for the exact reference quoted, and commit to spare parts availability in years and in writing.
