After sales, maintenance and spare parts for sports equipment

After sales support, preventive maintenance and spare parts supply determine the real service life of a professional equipment fleet more than the purchase price does. Over ten years of operation, equipment that is poorly maintained or cannot be re supplied is replaced twice, while equipment that is properly followed lasts the whole period. Ten year cost of ownership

Purchase price is only part of the total cost of a fleet. A treadmill running twelve hours a day consumes belts, decks, drive belts and labour; a selectorised machine consumes cables, bearings and seat pads; a rubber floor consumes joints, edging and re laying work. Ten year cost of ownership aggregates several distinct budget lines that should be planned from the investment stage.

  • Initial investment: equipment, delivery, installation, commissioning and staff training.
  • Preventive maintenance: periodic visits, technical cleaning, lubrication, checks on fixings and cables.
  • Corrective maintenance: unplanned callouts, diagnosis, component replacement, machine downtime.
  • Consumables and wear parts: running belts, cables, foams, upholstery, straps, pads and grips.
  • Compliance: periodic inspections, reports, replacement of non compliant outdoor components.
  • End of life: removal, disposal or trade in of replaced equipment.

One line is consistently underestimated: downtime. A machine out of service in a busy gym is an immediate loss of service, and a source of complaint in a care home or rehabilitation centre where session schedules are fixed. That loss, not the price of the part, is what justifies a maintenance contract.

Spare parts availability is the first professional purchasing criterion

Professional equipment is judged on its ability to be repaired, not only on its ability to work when new. A reference discontinued by its manufacturer turns a minor fault into a full replacement. That is the main risk of buying from importers with no stock and no technical department, and it usually materialises between the fifth and eighth year, while the equipment still has book value. Three questions should be asked before any order, with the answers obtained in writing:

  • Guaranteed supply period: for how many years will the reference remain available after it is withdrawn from sale?
  • Stock location: are common parts held in Europe, or does every order wait for a shipment from the country of manufacture?
  • Standardisation: are bearings, fasteners, pulleys and pistons commercial references or proprietary parts?

Light In Fitness manufactures in house in Tours, with welded fabrication, laser sheet metal work, machining, plastic injection, brass foundry and epoxy finishing. That allows us to remake a structural or interface part to drawing, even on older equipment. For the twelve brands we distribute, supply runs through the manufacturers’ channels, and the supply period and average dispatch time are stated brand by brand on the quotation.

Preventive maintenance plan by equipment family

Preventive maintenance splits tasks between what the operator carries out as routine and what requires a technician. The table below is the basis of a plan for a facility in intensive professional use. Frequencies should be adjusted to actual operating intensity.

A maintenance plan is only worth what its records prove. A dated, signed log book kept per site conditions both warranty acceptance and the operator’s defence in the event of an accident.

Matching frequency to operating intensity

A gym open continuously and a hotel fitness room do not wear equipment at the same rate. Three profiles are distinguishable in practice.

  • Supervised, moderate use: hotels, residences, corporate gyms, care homes. Low traffic, but users who are often unfamiliar with the equipment, which increases misuse and wear on adjustment mechanisms.
  • Continuous professional use: fitness clubs, rehabilitation centres. High turnover, regular loading, wear that is predictable and can be planned.
  • Intensive high load use: CrossFit boxes, military bases, strength platforms. Impact, heavy loads, dropped barbells, stress on anchoring and flooring, accelerated surface wear.

On the third profile, bolt and anchor inspection frequency has to be tightened, because failure there is sudden rather than progressive. On the first, maintenance of adjustments and seat pads matters most, because the safety of a vulnerable user group depends on it.

Outdoor equipment inspection and operator liability

Freely accessible sports and leisure equipment engages the liability of the owner and the operator. For a municipality, a social landlord or a school, the absence of documented inspection can be held against you after an accident, regardless of how good the equipment is.

EN 16630 structures surveillance in three levels: routine visual inspection, periodic operational inspection and annual main inspection, the last producing a written report that identifies non conformities, ranks them and sets corrective actions. The associated shock absorbing surfaces fall under EN 1177, which defines the critical fall height to be retained over time. See our standards and compliance page. A public authority should be able to produce the following at any time:

  • Installation file: layout drawings, manuals, handover certificate, declarations of conformity.
  • Safety log book per site, with dates, results and the inspector’s name.
  • Annual main inspection report: findings, photographs, risk rating, dated recommendations.
  • Corrective action tracking, and traceability of replaced parts against the original equipment.

Response times and service levels

A response time is not a return to service time. The first measures how quickly the technical department engages, the second depends on part availability and travel scheduling.

For a facility whose activity depends on a single station, for example one rehabilitation treadmill or one test rower, the question of loan equipment has to be settled at the order, not at the breakdown.

Sports flooring maintenance

A sports floor degrades at the joints and edges before the surface. Watch tile stability around the perimeter of a zone, play appearing between modules under free weights, and localised punching through beneath racks and platforms. An unsuitable cleaning product, particularly a solvent based one, attacks the rubber binder and causes irreversible chalking. On outdoor surfaces subject to EN 1177, inspection also covers retained impact attenuation, which is not visible to the eye, and a partial re lay costs a fraction of full replacement if done before water penetrates under the covering. Managing a multi site fleet

A club chain, a hotel group, a social landlord or an authority with several facilities all face the same problem: equipment from different generations and brands multiplies part references, contacts and procedures. Rationalisation rests on four decisions: a single inventory per site with reference, serial number, commissioning date and condition; progressive standardisation towards a limited number of brands as equipment is renewed, so parts can be shared; a common calendar grouping preventive visits by geographic zone; and a single technical contact for every request. Replacement and end of life

Equipment reaches end of life when the cumulative cost of repairs exceeds the value of a new machine, or when its parts can no longer be supplied. Take that decision on data rather than at the final breakdown: a maintenance history identifies the stations about to tip over and lets you place them in the next investment plan. Renewal can be spread using lease finance over 36 to 60 months. Trade in terms are assessed case by case according to condition, brand and year of commissioning.

Frequently asked questions

How often should cardio equipment be serviced?

Routine tasks, cleaning under the deck and checking belt tracking and tension, fall to the operator weekly. Deck lubrication and motor and control board checks require a technician at least twice a year in continuous professional use, and more often in intensive use, because a fouled belt degrades the motor before any visible sign appears.

Is a preventive maintenance contract compulsory?

Not as such, but the absence of documented maintenance is a warranty exclusion and weakens the operator’s position after an accident. For freely accessible outdoor equipment, periodic surveillance and the annual main inspection do fall under a safety duty on the owner. A contract structures those duties and produces the written evidence.

Who is responsible for the annual inspection of outdoor equipment?

The owner and the operator, meaning the authority or its concession holder, even when the inspection is contracted out. The authority must keep the safety log book, the annual main inspection report and proof that non conformities were dealt with. Equipment with a non conformity must be taken out of use until corrected.
