Corporate gym equipment: budget, layout and return on investment

A workplace gym is judged on two numbers: what it costs to run per year, and what it saves in absence, turnover and productivity. Both are measurable, and both depend far more on how the room is specified than on which brand goes into it. Light In Fitness equips employers from 20 to 500 staff, from a 15 square metre room in an office building to a 200 square metre wellbeing space on a corporate campus, and handles the survey, layout, supply and installation.

What the evidence says

Published research and operator data point the same way. A structured workplace physical activity programme is associated with an average 25 percent reduction in absence, and up to 41 percent where the programme is properly framed rather than simply providing a room. Productivity gains of 4.5 to 7.9 percent have been measured, with net profitability effects in the range of 1 to 14 percent. In employee surveys, 91 percent report better mental wellbeing, 94 percent better physical condition, 87 percent stronger team cohesion and 86 percent lower stress. Turnover falls by around 25 percent, and 58 percent of employees say they would like to train at work.

These figures justify the business case, but they only materialise if the room is usable at the hours people actually train, which is before work, over lunch and in the early evening. A gym sized for the headcount but not for the peak is a gym that people stop using in month three.

Budget by floor area

The figures below are observed budgets excluding VAT for equipment, flooring and installation. They exclude building works, changing rooms and ventilation upgrades, which belong to the property budget rather than the equipment budget.

Premium ranges include higher specification cardio, a cross training zone and fitted changing facilities. Above 200 square metres, or on a multi site rollout, pricing is established from drawings.

A worked equipment plan for a 30 m² room

This is the configuration most small and medium employers start with. It covers cardio, guided strength and free weights for a workforce with mixed experience and no supervision on site.

At 60 to 80 square metres the plan doubles the cardio row, adds a rower and introduces five selectorised machines plus a half rack, landing around 35 000 euros. At 120 to 150 square metres it extends to three treadmills, four cycling bikes, three cross trainers, two rowers, eight selectorised machines and a Smith machine or power rack, around 61 000 euros. Rubber flooring runs 17 to 35 euros per square metre depending on thickness.

How the return is calculated

Take a site of 100 employees and a 60 000 euro investment. If absence stands at 4.5 percent, that is roughly 450 lost days a year at an internal cost of around 350 euros a day. A 15 percent reduction returns about 23 625 euros a year. Against an annual cost of roughly 10 571 euros, covering depreciation and maintenance, the room pays for itself on absence alone. Adding the productivity and turnover effects brings the total benefit into the 30 000 to 50 000 euro range per year, or a return of 2.8 to 4.7 times over three years.

Run the same calculation with your own absence rate and internal day cost before you commit. If absence is already low, the case rests on retention and employer brand instead, and the room should be sized and positioned accordingly.

Compliance and the documents you will need

A gym open to employees, and possibly to visitors, is treated as a small public access facility in most European jurisdictions, and four requirements structure the file. Equipment must comply with EN 957, and for unsupervised workplace use the class S specification is the relevant one. Accessibility rules apply to circulation widths, control heights and adapted sanitary facilities. The floor covering must carry a reaction to fire classification appropriate to the building, which is what makes a Cfl-s1 or Bfl-s1 rated rubber tile the default choice above ground floor. And a safety register must be kept up to date with an annual equipment inspection.

Employee representative bodies are usually consulted before the project is committed. In France this means a formal consultation of the CSE, the elected staff committee, for employers above 50 staff; elsewhere in Europe the equivalent works council process applies. Either way, budget four to six weeks for it in the programme. Tax treatment of the investment also varies by country: in France, workplace sport facilities have benefited from an uncapped exemption from social security contributions since a decree of 1 March 2021, with the assets depreciated over five to seven years. Check the position with your own advisers before relying on it in the business case.

Programme, delivery and installation

A typical project runs 10 to 12 weeks: internal survey in weeks 1 and 2, technical audit of the room in weeks 2 and 3 covering floor loading, ventilation and access, layout design in weeks 3 and 4, consultation and sign off in weeks 4 to 6, order and delivery in weeks 6 to 10, installation in one to two days, then launch communication. The mistakes that cost the most

Skipping the technical audit, and discovering afterwards that the floor loading or the ventilation will not take the intended use. Buying consumer grade machines instead of class S equipment, which fail under collective use and expose the employer. Consulting employee representatives late, which stalls an otherwise approved project. And leaving maintenance out of the budget, which turns a two year old room into a row of out of service machines.

Frequently asked questions

What is the minimum area for a workplace gym?

Fifteen to thirty square metres serves 20 to 80 employees with a basic cardio and strength configuration. Below that, a mobility and stretching room with accessories is a more honest proposition than a gym.

What return can an employer expect?

Between 2.8 and 4.7 times over three years on the worked example above, driven mainly by reduced absence, with productivity and retention effects on top. The result is sensitive to your current absence rate, so run the figures on your own data.

Is a maintenance contract necessary?

Yes, as soon as the room is used weekly by several people. Preventive inspection limits breakdowns, checks treadmill safety systems, cables, upholstery and fixings, and gives the employer a documented maintenance trail.

Which flooring limits noise in an office building?

High density rubber tiles, particularly under cardio and free weight zones. They cut vibration, protect the existing floor and improve acoustic comfort. Above ground floor, validate the thickness and the underlay before installation.

Can the investment be leased?

Yes. Finance partners offer leasing over 36 to 60 months on packages from 10 000 euros excluding VAT, with instalments treated as an operating expense rather than a capital commitment.
